“Free to attend” can mean free exhibition access, while conference sessions, workshops or premium networking remain paid. Admission language also varies between organisers. Understanding the common pass types helps you register correctly and budget for the parts of an event you actually need.
Free trade visitor registration
Many B2B exhibitions offer complimentary access to eligible industry professionals who register in advance. The organiser may ask for company details, job function or proof of trade status. Approval can be automatic or subject to review.
Free access may cover the exhibition floor but exclude conferences, closed networking sessions, workshops or hosted-buyer activities. Read the inclusions instead of relying on the word “free.”
Paid visitor or on-site admission
Some events charge all visitors, while others charge only for late or on-site registration. Advance rates can also change by date. If an event page lists a price, check the currency, tax treatment, cancellation terms and whether the pass is valid for one day or the full event.
Do not assume that a business card guarantees entry. Organisers may restrict admission by age, profession, dress code, identity verification or invitation status.
Conference and delegate passes
A conference pass normally covers selected content sessions and may include exhibition access. Events with several content tracks can offer different delegate tiers, so compare the programme access attached to each pass.
If your main objective is meetings on the exhibition floor, a full conference pass may not be necessary. If your objective is technical learning or senior-level networking, the paid programme may be the most valuable part of the event.
Invitation-only, hosted-buyer and media access
Invitation-only programmes usually have eligibility rules and limited capacity. Hosted-buyer programmes may cover selected travel or accommodation in return for scheduled meetings, but participation requirements vary. Media passes often require proof of publication and editorial role.
Apply early and answer eligibility questions accurately. Approval from a previous edition does not guarantee approval for the current event.
Five checks before you travel
Save the final confirmation and check whether a QR code, printed badge, identity document or company proof is required. Reconfirm the opening period for your pass because exhibitor, conference and public hours can differ.
- Is registration confirmed or still pending approval?
- Which days, halls and sessions does the pass include?
- What must be shown at badge collection?
- Can the pass be transferred or cancelled?
- Has the organiser changed the venue, entrance or opening period?
Event dates, admission conditions, participants and travel requirements can change. Verify time-sensitive details through the organiser and relevant official authorities before making payment or travel arrangements.
